Transaction Coordination

  • Contract-to-close file management
    Organizing and maintaining transaction documents for compliance.
  • Document compliance review (RECO & brokerage)
    Ensuring all required paperwork is properly completed and submitted to the brokerage.
  • Deadline tracking & reminders (conditions, deposits, closing, etc.)
    You will receive email reminders about important deadlines, but follow-ups with clients are not included.
  • Brokerage submission for compliance & commission processing
    Handling submission of completed files to ensure timely payment of commissions.
  • Final file organization & archiving
    Compiling all completed documents into a final organized file for record-keeping.

  • Listing document preparation
    Preparing all required forms for the agent’s review and signature
  • MLS listing entry (data input form required)
    Entering listing details into MLS using the agent-provided input form.
  • Property description creation
    Creating a property listing description for MLS.
  • Upload listing photos to MLS
    Adding photos to the listing once provided by the agent or photographer.
    (Photos must be provided in the order you would like them displayed on the MLS)
  • MLS draft email for agent review and approval
    Sending a preview of the listing for final agent approval before submission.

Full-Service Packages

Our full-service packages offer comprehensive transaction coordination and listing preparation support for agents who want to be more hands-off. We take care of the paperwork, deadline tracking, and communication with all parties to ensure everything runs smoothly from start to finish.

Transaction Coordination

Everything in Standard, plus:

  • Welcome email to client with key transaction milestones
    A personalized introduction email outlining key deadlines and next steps.
  • Direct client communication to collect missing documents & signatures
    Following up with clients directly to request necessary documents or signatures.
  • Scheduling of inspections, appraisals, etc.
    Coordinating appointments related to the transaction per agent instructions.
  • Document submission to mortgage broker and lawyer
    Ensuring all necessary deal documents are sent to the mortgage broker and lawyer
  • Client follow-ups for a smooth closing
    Checking in with clients regarding key dates (conditions, deposits, closing).
  • Agent-to-agent communication for signatures
    Reaching out to the cooperating agent to facilitate collecting missing signatures on documents.

If Seller Representation:

  • All services above, plus:
  • Update MLS as required (Conditional, Sold, etc.)
  • Communication with listing sign company for sign removal (if applicable)

  • Welcome email to client with key dates (photography, staging, go-live date)
    A personalized introduction email keeping sellers informed about the listing timeline.
  • Scheduling of photography, staging, listing sign installation
    Coordinating pre-listing services per agent instructions.
  • Offer instructions & ShowingTime setup
    Setting up agent-specified offer instructions and managing ShowingTime preferences.
  • Direct client communication to collect missing documents & signatures
    Following up with sellers to ensure all necessary paperwork is completed prior to listing.

Additional Services

Optimize your workflow with time-saving tools designed to streamline transaction and listing management. Our template setups help you work more efficiently, while other support services ensure your processes stay organized and hassle-free.

  • Transaction Template Setup $75 Per Template

    We will create pre-filled Transaction Form templates to streamline future transactions.
    Each template includes a set of forms for a specific transaction type, such as a Residential Listing, Residential Buyer, or Condo Buyer.

    • 1 Template → $75
    • 2 Templates → $125 (Save $25)
    • 3 Templates → $175 (Save $50)

    Note: Agents are responsible for providing clauses or brokerage-specific requirements.

  • Digital Signature Template Setup $50 Per Form

    We will create pre-set signing templates for your preferred digital signing platform, (AuthentiSign, DocuSign, Dotloop, etc.).
    This allows you to quickly send documents for signature with pre-mapped fields for initials, signatures, and required dates, significantly reducing manual entry time.

    • 1 Form → $50
    • 3 Forms → $125 (Save $25)
    • 5 Forms → $175 (Save $50)

    Note: Agents must provide access to their signing platform and specify any custom signing rules required by their brokerage.

À La Carte Services

Need help with specific tasks without committing to a full package? Our à la carte options let you choose only the services you need, from offer preparation to MLS input and scheduling assistance.

  • Buyer Representation Agreement Preparation $50

    We will prepare the Buyer Representation Agreement and related compliance documents based on agent-provided details.
    Agents are responsible for supplying clauses and additional forms required by their brokerage.

  • Offer Preparation $75

    We will draft an Agreement of Purchase and Sale or lease agreement based on agent-provided details.
    Agents are responsible for providing offer details, including custom clauses and terms.

  • Listing Agreement Preparation $75

    We will draft a Listing Agreement and any required listing documents with agent-provided details.
    Agents must provide their own Schedule A terms and either the MLS Data Input Form or MLS Printout as required by their brokerage.

  • MLS Listing Input $100

    We will enter listing details into the MLS based on the completed data input form provided by the agent.
    Agents are responsible for reviewing and approving the draft before submission.

  • Scheduling $35 Per Request

    Photography Scheduling
    We will book a listing photography appointment with the agent’s preferred photographer.
    The agent is responsible for providing photographer contact information and payment arrangements.

    Inspection/Appraisal Scheduling
    We will coordinate a home inspection or appraisal appointment based on the agent’s preferred vendors and client availability.
    The agent must provide vendor details and confirm payment terms with the service provider.

    Sign Installation & Removal Scheduling
    We will coordinate with the agent’s preferred sign installation service to arrange for-sale sign placement and removal based on the listing timeline.
    Agents must provide contact details for the sign company they use.
